Creating Customized Insightful Reports with SYSPRO’s Report Designer

If you’re a manufacturer, you likely are familiar with SYSPRO and know that it comes with a set of built-in reports covering everything from inventory valuations to sales orders. These reports are great right out of the box, but sometimes, they need a little tweaking to fit our exact needs. Maybe you need a variation with different formatting, or maybe you want to pull in a few additional data points. This is especially important when confidence in data quality is essential for productivity – yet many manufacturers face challenges in this area. In fact, 35% of manufacturers report having incomplete data, 31% deal with outdated data, and 30% say their data is inaccurate. With these issues in mind, having flexible and customizable report designer tools is more important than ever. 

Fortunately, SYSPRO makes it easy to create your own version of any existing report without risking messing up the original. Here’s our step-by-step guide on how to copy an existing SRS report, create a new file, and add it to your SRS menu, all without impacting the original.

Step 1: Set Yourself Up as a Report Designer

Before you get started, make sure your operator is set up as a Report Designer in SYSPRO. This will give you the access you need to customize the reports.

Step 2: Navigate to Reporting Services

From the ribbon bar at the top of the screen, click on the Query tab, then select Reporting Services. This will open the Reports Main Menu.

Step 3: Select the Report You Want to Copy

Now, find the report you want to copy. For this example, let’s use the Inventory Valuation Report (you can follow these same steps for any report in the system).

Step 4: Export the Report Configuration

Right-click on the report you want to copy and select Export Report Configuration. This will allow you to create a copy of the report’s configuration without altering the original.

Step 5: Save the Report Configuration

Next, you’ll be prompted to choose where to save the report configuration. Use the Spy Glass to select a location — the desktop works just fine for now, but make a note of where you save it, as you’ll need this location in the next step.

Step 6: Create a New Folder for Your Report (Optional)

Head back to the SRS Main Menu, and either create a new folder or select the folder where you want your new report to live. Right-click on the folder and select Import Report Configuration.

Step 7: Import the Report Configuration

In the Import Report Configuration window, you’ll need to import the file you saved earlier. This will create a new copy of the report within the selected folder.

Step 8: Rename Your Report

Before you save, make sure to change both the Report Description and Report ID. These need to be unique, so don’t forget to rename them! For this example, we added “New_” at the beginning of the Report Description and ID.

Step 9: Save and Modify Your New Report

Once you’ve renamed everything, click Save to create your new report. Now, you’ll see it listed in your folder (in this case, the Administration folder). You can go ahead and make any changes you need to this report, whether it’s adjusting the formatting, adding new fields, or customizing the layout. The best part? The original report is completely untouched!

This method is perfect when you need slight variations of a report but don’t want to mess with the original version.
